  • Restricted access to client data on a need-to-know basis

  • Use of reputable, security-compliant third-party platforms

  • Regular review of access permissions, especially upon staff changes

  • Encrypted communication channels where applicable

While we apply industry-standard practices and take data security seriously, no method of transmission over the internet or electronic storage is entirely risk-free. We cannot guarantee absolute security, but we are committed to continuously improving our safeguards.

16. Client Confidentiality

Inverto Digital treats all client information as strictly confidential. This includes business strategies, client lists, account credentials, proprietary systems, internal processes, and any other sensitive information shared with us in the course of our engagement.

Our team members - including Virtual Assistants - are bound by confidentiality obligations. Access to your systems and data is granted only to those directly involved in your project and only to the extent necessary to complete the work.

In the event that a Virtual Assistant is terminated, reassigned, or removed from your account for any reason - whether due to misconduct, underperformance, or an internal decision by Inverto Digital - it is our responsibility to promptly revoke all access to your systems, accounts, and data. We do not record discovery calls without prior notice. Any notes taken during the call are stored securely and treated as confidential.

20. Virtual Assistant Access & Security

When a Virtual Assistant is assigned to your account, they may be granted access to your business systems, including CRM platforms, ad accounts, social media profiles, project management tools, and other relevant software.

The following principles govern VA access at Inverto Digital:

  • Access is granted strictly on a need-to-know basis, limited to what is required to perform the assigned tasks

  • All VAs are briefed on confidentiality and data handling obligations before beginning any client engagement

  • Inverto Digital maintains oversight of VA access across all client accounts

  • In the event of VA termination, misconduct, or reassignment, Inverto Digital takes full responsibility for revoking access to all client systems

    promptly

  • Clients are notified of any access changes affecting their accounts

If you become aware of any unauthorised access or suspected misuse of your data by a VA, please contact us immediately at [email protected] and we will act without delay.

21. Payment Information

Payments for Inverto Digital services are processed securely through Stripe, a PCI-DSS compliant payment processor. We do not store your full card details on our servers. Stripe handles all payment data in accordance with their own privacy and security standards, which you can review at stripe.com/privacy.

Information we retain in relation to payments includes:

  • Your name and billing email

  • Payment amount and date

  • Transaction reference or invoice number

  • Subscription or service plan details

If we introduce additional payment methods in the future - such as PayPal, bank transfer, or other processors - those transactions will be handled through equally reputable, security-compliant providers. This policy will be updated accordingly, and any new processors will be listed under Section 8 (Third-Party Services). The same principle applies: we will never store full card or sensitive banking details on our own systems.

22. Data Processors & Service Providers

We work with a number of third-party data processors who handle personal data on our behalf to help us deliver and operate our services. These processors are contractually obligated to handle your data only on our instructions and in accordance with applicable privacy laws.
